What you should know when you get there…

Be Dance Guelph – UPDATED VENUE PROTOCOLS AND ATTENDEE GUIDELINES


• Full cooperation is required from all attendees
• Failure to comply may result in event shutdown


Attendance & Viewing
• No dancers permitted in the audience
• One parent per dancer (view their child’s routines only)
• Non-compliance may result in denied entry at ballroom doors
• Awards viewing limited; livestream strongly encouraged
• Ballroom capacity strictly enforced (seated/standing only, no floor sitting)
• Dancers may attend awards on stage for their session only
• Dancers viewing other sessions must use livestream areas
• Multiple livestream viewing stations provided throughout venue


Venue Access & Movement
• Ballroom doors controlled by venue staff/security
• Teachers provided backstage access lanyards (stage wing access permitted)
• Stage pathways must remain clear at all times
• Dancers check in outside backstage, no general backstage access


Backstage & Production
• No prop storage backstage at any time
• Props must be brought directly on/off stage for performances


Change Rooms
• Limited space during peak times
• No large personal setups (rac’n rolls, tents, mirrors, chairs, etc.) per dancer
• Rac’n rolls should be shared (especially for dancers with 3 or fewer routines)
• Hotel rooms encouraged for hair/makeup and non-quick changes


Warm-Up Room
• Shared space; be respectful of time and usage
• Keep movement flowing to allow access for all dancers
• Livestream TV available throughout event
• May be used during awards for dancers not in that session





EVENT ACCESS:  Rehearsal room and change room doors will open 1 hour prior to showtime each morning. House/ballroom doors open 15 minutes prior to show time each morning.


CHANGE ROOM PROTOCOL:

- During busier times in the competition it is highly encouraged that rag'n rolls are shared among multiple dancers or left behind if not performing several routines that day.

- To avoid congestion and respect the space, parents of older dancers (12 years and up) should refrain from being in the change room unless absolutely necessary.

-If you are a guest at the hotel, please take advantage of the convenience of dressing in your room when the schedule permits.


PROGRAMS/STREAMING:

  • Link to online program available on the Be Dance website on the dates of the scheduled competition.
  • Note: Souvenir programs will be available for purchase on-site for those who prefer a hard copy. Please note that quantities are limited.
  • Entry numbers are not finalized until published in the Be Dance event programs and online link, therefore making it your best reference throughout the course of the weekend.
  • All performances and awards ceremonies will be live streamed from the Be Dance website homepage.


PARKING:  Parking is free/complimentary for overnight guests and daytime attendees. Guests are required to register their license plates either at the time of check-in or upon arrival to the hotel if they are only a daytime attendee. QR codes for scanning will be posted around the conference centre for license plate registration. 

FOOD & DRINK: Restaurant “Bar Mason” located in the hotel lobby.

PROPS: We cannot guarantee that storage space will be provided for props. Please be prepared to load props in and out as needed. Backstage access will be provided 1 hour prior to show times for prop arrival.

  • MUSIC: Studio Owners/Directors can submit music directly through their DanceBug account.
  • Accepted Music Formats: .wav, .mp3, .m4a, or .mp4
  • Non Compatible Media Formats: .mov and .qt (QuickTime music files)


BACK UP MUSIC: We ask that all Studio Owners/Directors have backup copies on hand at the event.

  • A USB, iPod, iPad, laptop or cellphone can be used for backup music ONLY.
  • Adapters (if needed) must be provided by Studio Owners/Directors and/or teachers as we cannot guarantee compatibility from device to device.

NOTE:  Teachers are responsible to play backup music. We ask that teachers are present at the music table to give any special cues. We cannot guarantee that a pitch control change can be precisely made. It is best to pre-pitch all music to avoid technical issues.
